In a recent partnership with a national healthcare organization, our team completed a large-scale event kitting project for a professional conference, allowing the organization to focus on other critical event planning responsibilities while we managed the assembly and logistics.

The client initially reached out for a quote and requested references from previous projects. After reviewing recommendations and our proposed fulfillment strategy, they selected FFI to manage the collation and shipment of attendee gift bags for their upcoming event. 

As with many convention giveaway programs, the project required assembling multiple promotional and informational items into a single gift bag. To ensure accuracy, our team carefully reviewed the contents, developed a production plan, and established timelines based on the project’s scope. Once materials arrived and the project received final approval, our team set up dedicated pick-and-pack stations and began production. The entire project was completed within a three-week timeframe ahead of the event.

Tackling a Large-Scale Kitting Project

Anthony Marcello, FFI’s Director of Operations, explained:

“For an assembly project of this volume, I need to ensure that the picking and packing of materials happens efficiently. I set this project material up on our long tables with the bag at the beginning, the packing box at the end, and the contents of the bag throughout the middle, creating a continuous flow.” This workflow helped maximize productivity, maintain accuracy, and keep the project moving on schedule.

Navigating Project Challenges

Like many large-scale assembly projects, adjustments were required throughout the production.

“Certain items became depleted at different times during the assembly processes,” said Anthony. “Once we exhausted the first item, we paused and communicated with the client to ask for direction. The decision was made to sticker the boxes that were completed in full to be used first at the event and then continue that process until the final bag tally was completed. Customer communication is always key.” Maintaining open communication allowed the project to continue smoothly while ensuring the client’s priorities remained front and center.

Using Experience to Improve Future Projects

Every project provides valuable insights that can be applied to future operations. 

“We packed sixteen different items in each bag, and now we know how much time was spent packing one single bag,” Anthony explained. “In the future, we will use this as a time study to help quote additional projects with a similar build-out. Having accurate time estimates allows us to properly manage labor, plan supplies, meet completion times, and provide accurate pricing.”
